VanillaSoft Fall 2016 Release Notes

We’ve just added texting (SMS) to VanillaSoft, as well as made enhancements to the Credit Card Payment Gateway, Appointment Reminders, Time Zones, Salesforce integration, and Call Scripts.

Texting Directly within VanillaSoft

Give Callers and Agents using VanillaSoft VoIP a new way to communicate with their customers and prospects via text message (SMS) directly through VanillaSoft.

Callers can text the mobile number of a contact and receive replies; result codes can automatically trigger a message based a on pre-defined SMS template; and automated SMS reminder messages can be sent in advance of a scheduled appointment.

Automatic Appointment Reminders

When an appointment is booked by a Caller, a reminder email and/or SMS message can automatically be sent to the Contact a specified number of minutes, hours or days prior to the scheduled appointment.

Update a Contact's Time Zone

VanillaSoft automatically determines the time zone of a Contact by the area code. But in the rare case of a Contact located in a different location, the Caller can now manually change the time zone.

Recurring and One-time Credit Card Payment

VanillaSoft offers support for several different credit card processers. If Authorize.net is your credit card payment gateway, your Callers can now accept recurring payments (monthly, quarterly, semi-annually or annually) in addition to a one-time payment.

Control Input Fields for Credit Card Payments

Admins can now control what input fields are visible to Callers on the Credit Card Payments tab, and which of those fields are mandatory. This helps to ensure the right information is passed on to your credit card processor.

Salesforce Integration Enhancements

A Salesforce ID field is now available to Admins on the Import Contacts mapping page. This feature allows Admins to import a Salesforce ID without using our Salesforce-side app. The Salesforce ID field can also match records on an import/update (or skip duplicates), as well as be queried from 'Contact Management'.

Copy Call Scripts

Admins can now easily copy Call Scripts within a Project and to another Project. This makes it easier to replicate your best practice scripts across projects.

New Features and Enhancements

We have been working hard to improve VanillaSoft in 2015 and have again released a number of updates and enhancements earlier today. We want to make sure that you know about all of the new capabilities available to you:

DocuSign® Integration

Are you ready for the benefits of electronic contracts? DocuSign lets you send, sign and approve contracts anywhere and is now integrated directly within VanillaSoft. Give your users access to electronic contracts – either pre-defined templates or uploaded documents – that can be sent to a prospect directly from the VanillaSoft contact page. Track the progress of the contract directly on the contact itself, and access the original and signed versions from the Attached Documents tab. It has never been easier to make the switch to electronic contracts!

Customizable MyContacts Page Layout

The new customizable MyContacts page has arrived! The MyContacts page gives a user a more traditional list-based view of owned contacts for quick reference. The display can now be completely customized by the administrator on a per-project basis to place the exact fields in the order that you want to see them. This can be done quickly and easily from the Page Layout menu within the project.

Build Custom Dashboards Limited to Specified Users

Custom dashboards allow you to track the metrics that matter most on a real-time basis. Now create user-specific dashboards in order to track results by specific teams or groups. Create multiple dashboards for friendly competition between teams, or create leaderboards by choosing which metric to automatically sort on. Custom dashboards are now more flexible than ever! 

User Access Page: Manage Access to Projects and Teams

If you need to define which projects or teams that your users have access to as well as change those access permissions on a regular basis, then this page is for you. View user project/team access on a per-project or per-user basis to quickly and easily change permissions for multiple users at the same time. You can add access, remove access, or switch user access with the click of a button. This page is available to Account Admins under the Users menu when at least one user has defined project access.

Point-to-Point Proximity Routing for Appointment Setting

VanillaSoft’s proximity routing already allows you to easily route contacts that are within a certain radius of a zip code. If you need even more precision, you can now import latitude and longitude information for contacts and use VanillaSoft’s new and improved proximity routing. Choose an actual contact address and VanillaSoft will calculate the routing based on the precise latitude and longitude data of the contact. For example, this can be great when setting appointments in a rural zone where the zip code may cover a large area.

Faster Access to Call Recordings When Using VanillaSoft VoIP

When using VanillaSoft VoIP, recordings will now be available more quickly within your admin account. Most recordings should now be available within 5-7 minutes for either review or export.

Export has also been enhanced so that when a batch export of recordings is initiated you will receive an email with a link to the recordings as soon as it is completed.

Support for Two New Payment Gateways

In addition to USAePay, VanillaSoft now supports two new payment gateways. Beanstream - servicing the US, Canada and the UK – offers flexible, secure and bank neutral online payment solutions. iATS payments provides payment processing services to over 10,000 nonprofits around the world, with particular focus on the US, Canada, Australia, and Europe.

Other Enhancements

  • Phone Numbers may now be edited inline, directly from the contact page.
  • We’ve made our integration with SalesForce even better! You can now set up rules in your Salesforce account to create new contacts or update existing contacts within VanillaSoft using our Incoming Web Leads functionality.
  • Custom Field Type of Currency can now be set in Pounds or Euros as well as Dollars.
  • We have made it easier to remove an email address from the suppression list if you feel that it is an error.  To remove an email address from the suppression list go to Dashboard-> Email Bounces page and select General Bounce Search

It’s here! Introducing The New VanillaSoft. This is a completely new, modern interface that’s available for all VanillaSoft Pro accounts. We have taken the tabs in the current interface to the next level by creating customizable panels, giving you the flexibility to ensure users have all the needed information and productivity tools readily available to make more sales!

CTI Screen Pops

Automatically identify the incoming caller and prepare to take the call. VanillaSoft searches the database for the caller ID number. If a contact match is found, a screen pop will appear to indicate that the caller has been identified, letting the agent access it immediately.
